Add a client
A client is a customer you do projects for — the person or company a project belongs to. Adding clients lets you attach them to projects and keep their contact details in one place. This guide shows how.
The short version: go to Settings → Clients, tap Add client, enter a name, pick a business, and tap Add client.
How clients relate to businesses and projects
- Every client belongs to one business (the same way staff and zones do).
- When you create or edit a project, you can choose a client in the Owner field — and only
clients from the project's business are shown.
- A project doesn't have to have a client; the Owner field is optional.
Add a client
- Go to Settings → Clients.
- Tap Add client.
- Enter the Client name (required, 2–150 characters).
- Choose the Business this client belongs to (required).
- Optional: add a Phone number, an Email, and Notes.
- Tap Add client.
| Field | Required? | Notes |
|---|---|---|
| Client name | Required | 2–150 characters (a person or a company). |
| Business | Required | The business this client belongs to. |
| Phone number | Optional | Any international format. |
| Optional | A valid email address. | |
| Notes | Optional | Anything worth remembering about this client. |
You can also add a client while creating a project — the Add client shortcut on the project form opens this same screen with the project's business already chosen.
Edit, deactivate, or delete a client
Open a client from the Clients list to:
- Edit client — change any detail.
- Deactivate client — hide a client you no longer work with, while keeping their history. You
can Activate them again any time.
- Delete client — permanently remove a client that isn't tied to anything.
Give a client portal access (optional)
You can invite a client to their own portal, where they can sign in and follow the projects that are theirs. Open the client and choose Invite to portal — they'll get an email to set their password.
Note: the portal invite needs email to be set up for your workspace. If invites don't send, ask your administrator to finish the email setup.
Tips
- Pick the business carefully — it controls which projects a client can be attached to.
- Use Notes for the little things: how they like to be contacted, account references, and so on.
- Deactivate rather than delete a past client so their projects keep their record.
