Add a supplier
A supplier is a vendor you buy goods and equipment from. Adding suppliers lets you link your purchases to them and see a running statement of what you owe. This guide shows how.
The short version: go to Settings → Suppliers, tap Add supplier, enter a name, pick the businesses they serve, and tap Add supplier.
Add a supplier
- Go to Settings → Suppliers.
- Tap Add supplier.
- Enter the Supplier name (required, 2–150 characters).
- Choose the Businesses served (required — pick every business this supplier serves).
- Optional: add a Contact person, Phone number(s), Email, Notes, and an
Address.
- Tap Add supplier.
| Field | Required? | Notes |
|---|---|---|
| Supplier name | Required | 2–150 characters. |
| Businesses served | Required | Pick one or more — a supplier can serve several businesses. |
| Contact person | Optional | Who you deal with. |
| Phone number | Optional | A main number, plus an optional second one. |
| Optional | A valid email address. | |
| Notes | Optional | E.g. payment terms or delivery days. |
| Address | Optional | Country, city, street and so on. |
The supplier statement
Open a supplier and tap View statement to see your account with them, per currency:
| Total | What it means |
|---|---|
| Purchased | Everything you've bought from them. |
| Paid | Everything you've paid them. |
| Outstanding | The balance — You owe, In credit, or Settled. |
Below the totals is a dated ledger of every Purchase and Payment with a running balance. Tap any row to see its details.
How purchases get there
You don't add purchases on the statement. They flow in automatically when you record a Cash out transaction on a project and link it to this supplier (see Track money on a project). The statement adds them up for you.
Record a payment
When you pay a supplier, tap Record payment on the statement and enter the Currency, Amount paid, Date, and an optional Note. The outstanding balance updates straight away.
Edit, deactivate, or delete a supplier
Open a supplier to:
- Edit supplier — change any detail.
- Deactivate supplier — hide a supplier you no longer use, keeping their history.
Activate them again any time.
- Delete supplier — permanently remove a supplier that isn't tied to anything.
Tips
- List every business a supplier serves so they're available wherever you record purchases.
- Link purchases to the supplier when recording cash out — that's what keeps "what you owe"
accurate.
- Record payments as you make them so the outstanding balance always reflects reality.
