Tasks and reminders

Keep a project moving with tasks (things to do, with checklists) and reminders (timed alerts so nothing slips). Both live on the project and show up in its timeline. This guide covers both.

The short version: open a project, go to Tasks or Reminders, and tap New task / Add reminder.

Tasks

A task is something that needs doing on the project — with an optional checklist of sub-steps.

Add a task

  1. Open the project and go to the Tasks tab.
  2. Tap New task.
  3. Enter a Title (required, up to 200 characters).
  4. Optional: add a description, a priority, a due date, and an assignee.
  5. Tap Add task.

Reminders

A reminder is a timed alert — a nudge at a date and time so something doesn't get forgotten.

Add a reminder

  1. Open the project and go to the Reminders tab (or use + → Reminder on the timeline).
  2. Enter a Title (e.g. "Call the supplier").
  3. Set the Due date and Time.
  4. Optional: choose Remind me — how far ahead to be alerted (At time of event, **5 minutes

before, 1 hour before, or 1 day before**).

  1. Optional: add a Note.
  2. Tap Add reminder.

When a reminder is due

Reminders are grouped into Overdue, Today, Upcoming, and Done. On a reminder you can:

Where they appear

Tasks and reminders each have their own tab on the project, and they also flow into the project's timeline alongside transactions, notes and activities — so you see the whole picture in one feed. See Track money on a project.

Who can do this: managing tasks and reminders needs the right permission. A contractor has it by default and can grant it to staff. Anyone on the project can read them and comment.
